Summary of Position

The Development and Communications Associate will be the administrative support for Forterra’s cultivation and fundraising efforts. The position is charged with supporting the development and communications team with a focus on gift processing, cultivation events and fundraising campaigns. This position requires a deep commitment to Forterra’s mission, exceptional attention to detail, and the ability to balance multiple needs and priorities. Under the supervision of the Development and Communications Operations Director, this position will assist with event logistics, complex data entry, and administrative support. This is a great entry-level opportunity to gain experience with both fundraising and event coordination at a sustainability non-profit.

Essential Duties

Fundraising and Gift Processing Support. Goal: Become familiar with supporters through gift processing while supporting the team’s fundraising efforts.

  • Process incoming gifts while working collaboratively with other team members to ensure that gifts are accurately coded and new/high-level donors are monitored and stewarded with confidentiality.
  • Identify patterns in gift-processing, work collaboratively with Development to steward supporters toward major gifts.
  • Support direct mail and email campaigns.
  • Ensure donor acknowledgment letters are up to date and delivered in a timely manner.
  • Effectively field inquiries from supporters and capture interactions in the donor database.
  • Update, de-dup and help maintain constituent records for streamlined communications.

Event Logistics. Goal: Support a range of small to very large events, ranging from board meetings to large fundraising events.

  • Research event registrants to identify current and potential donors.
  • Support registration processes, actively upkeep information in the database.
  • Post-event data entry, tracking, and follow-up.
  • Research venues, caterers and other vendors.
  • Prepare and assemble print collateral.
  • Assist with setup and breakdown of events
  • Staff tabling/outreach events with excellent customer-service skills in order to expand awareness of Forterra’s work in the community.
  • Recruit and thank day-of event volunteers and vendors.
  • Maintain and disseminate the organization’s overall events calendar.
  • Other duties as assigned

Required Qualifications

  • Exceptional attention to detail.

  • Demonstrated ability to effectively manage time, organize multiple activities, set priorities, and remain flexible under pressure.
  • Ability and willingness to work necessary hours leading up to, during, and following each event.
  • Experience in event coordination or data processing or demonstrated relevant skills.
  • Superior customer-service skills; ability to be articulate, patient, and positive with constituents.
  • Willingness to jump in where needed and support the team.
  • Proficiency with MS Office products.
  • Demonstrated interest or experience in nonprofit work.
  • Commitment to the Forterra mission.

Desired Qualifications

  • Experience with Raiser’s Edge, excel or another donor/customer-relationship management tool.
  • Acumen with Adobe Creative Suite.

Travel, Working Conditions, and Physical Environment

This position is subject to indoor environmental conditions typical to a professional office setting. The essential physical requirements of this position include:

  • Ability to exert up to 30 pounds of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects.
  • Ability to sit or otherwise remain in a stationary position at a computer workstation for the majority of the work day.
  • Ability to frequently move about inside the office to access file cabinets, office equipment, etc.
  • Ability to constantly operate a computer and other office equipment such as calculators, copy machines, and printers.
  • Ability to communicate accurately and persuasively with co-workers, clients and members of the public about Forterra’s work.
  • Negligible travel, less than 10% of work hours.
